Learning Management System (LMS) Use Policy
1. Policy Purpose
In conjunction with IPEM’s Terms & Conditions (T&Cs) and any existing training scheme T&Cs, this policy sets out IPEM’s requirements for administration and use of its Learning Management System (LMS). It aims to provide guidance for the use of the LMS to enhance the learning experience of users.
2. Data Protection
In conjunction with IPEM’s Privacy Policy, IPEM will collect and use LMS user information for the purposes of managing user learning only.
Data will only be shared with relevant parties for the purposes of managing LMS content and supporting LMS users.
Data will be kept until we no longer have a legal basis for storing and processing this data.
Purpose of data processing
In the context of the LMS, we may use your data for a variety of purposes, including:
- To provide you with information of relevant courses and materials
- To enrol you on relevant courses
- To add you to relevant groups/cohorts
- To mark/grade your assignments (where applicable)
- To view your course activity/progress, results and completions
- To compile administrative and examiner reports for data analysis
- To send you updates regarding your learning
Categories of data
In addition to personal data stated in IPEM’s Privacy Policy, we may keep and use the following data:
- Course progress and completions
- Assignment marks/grades
- Uploaded course documents
3. Applicability
This policy applies to all users of IPEM’s LMS, including but not limited to, learners (IPEM members and non-members), teachers/moderators/reviewers and administrators. It covers access to the LMS for the purposes of participating in, completing, developing, implementing, administering or supporting online learning experiences.
4. Content Ownership
Content included on the LMS supports IPEM’s mission, vision, values and strategic goals, and must be approved by IPEM’s Training Team. IPEM reserve the right to remove content deemed offensive or not in keeping with company values.
Content is owned by IPEM, unless otherwise agreed and specified. IPEM retains all rights to content on the LMS. Content must not be copied, broadcast, downloaded or distributed without express permission from IPEM.
All content owners will ensure content is relevant, up-to-date, accurate, in keeping with current accessibility guidelines, and in compliance with any applicable local or copyright laws. IPEM’s LMS administrators will respond to user enquiries related to the LMS system and its content.
5. Content Creation, Review and Retention
Content creation and management will be led by the IPEM Training Team, in partnership with subject matter experts internal or external to IPEM. Requests for creation of content should be directed to IPEM’s Training Team who will review the request. Content to be created should follow the standard style guide, where possible, to provide consistency across the LMS.
All content owners will be responsible for ensuring content is reviewed as appropriate/required and kept up to date. IPEM reserves the right to remove incorrect or out of date content when required without prior notice.
6. Payment
Where applicable, users will need to pay a set fee to access content, based on their membership status. This will be done in accordance with IPEM’s standard card payment procedure. Access to such chargeable content will not be granted if payment is not provided.
In the event that you change your mind regarding this course, refunds can only be granted within 14 days of initial purchase, provided the course material has not been accessed.
7. Role Permissions
Role permissions allow users to access certain features and perform specific tasks within the LMS. Permission levels will be decided by IPEM’s Training Team and managed by LMS administrators. Requests to change permissions should be directed to IPEM’s Training Team. The role of ‘student’ or ‘learner’ makes up the majority of LMS users. Site administrators can only be members of IPEM staff.
8. User Access
User access will be granted on the basis of a user having an existing IPEM account. Users will access via Single Sign On (SSO) that is linked with their existing IPEM account. Guests to the LMS will be able to view limited content and will be required to create an IPEM account should they wish to view further LMS content.
User accounts may be deactivated if the existing IPEM account is removed, but data will be retained in accordance with IPEM's Privacy Policy.
Learners/students will be able to view content based on their IPEM membership status. They can gain access to courses by either self-enrolling (where permitted), by enrolling via payment (where applicable), or by a site administrator manually enrolling them.
By using the LMS, users accept that they will receive notifications relevant to courses they are enrolled in. Notifications may be via email and/or the LMS where appropriate.
9. Policy Compliance
Non-compliance with this policy may lead to user suspension from the LMS, as decided by IPEM. IPEM’s LMS administrators have the authority to suspend users where there are legitimate reasons for doing so, without prior notice. User access may be reinstated at IPEM’s discretion.
